Please read these Terms of Service carefully before using the OEM Distributors website or placing an order.

By browsing our website, creating an account, requesting a quotation or completing a purchase, you agree to be bound by these Terms of Service together with our Privacy Policy, Shipping Policy and Returns & Refunds Policy.

If you do not agree with these Terms, please do not use this website.

This website and online store are owned and operated by OEM Distributors (Pty) Ltd (“OEM Distributors”, “we”, “us” or “our”), a company operating in the Republic of South Africa.

OEM Distributors is a South African supplier and distributor of:

  • Original printer cartridges
  • Toner cartridges
  • Ink cartridges
  • Drum units
  • Printer consumables
  • Printers and printing equipment
  • Office supplies
  • Copy paper and stationery
  • Related business and office products

We supply products to individual customers, businesses, dealers, resellers, corporate customers and government organisations.

Orders may be placed for personal use, business use or resale purposes.

  1. Shopping With Us

OEM Distributors primarily operates through its online store and direct sales channels.

We offer delivery to customers throughout South Africa, subject to courier availability and delivery restrictions.

Customers may also arrange to collect orders from our operating office in Montague Gardens, Cape Town.

Collections should be arranged with us in advance so that we can confirm:

  • Product availability
  • Payment status
  • Collection date
  • Collection time
  • Order readiness

Please do not arrive for collection until you have received confirmation that your order is ready.

  1. Use of This Website

You agree to use the OEM Distributors website only for lawful purposes and in a manner that does not infringe the rights of others or interfere with the operation of our website.

You agree not to:

  • Use our website for unlawful, fraudulent or misleading activities
  • Provide false or misleading information when creating an account or placing an order
  • Attempt to gain unauthorised access to our website, servers, customer accounts or connected systems
  • Introduce viruses, malware or other harmful software
  • Interfere with or disrupt the operation or security of our website
  • Place an unreasonable load on our website or infrastructure
  • Use automated systems, bots, scraping software or similar technologies to extract website data without our prior written permission

We reserve the right to restrict or terminate access to our website where we reasonably believe these Terms have been violated.

  1. Products and Pricing

All products displayed or quoted by OEM Distributors are subject to availability.

We reserve the right to:

  • Add new products
  • Remove products
  • Change product specifications
  • Update product descriptions
  • Change prices
  • Discontinue products

We may do so without prior notice where reasonably necessary.

All prices are displayed in South African Rand (ZAR) unless otherwise stated.

VAT will be handled and displayed in accordance with OEM Distributors’ applicable VAT registration status and South African tax requirements. Where VAT applies, the relevant quotation, invoice or checkout page will indicate whether the displayed price includes or excludes VAT.

We make reasonable efforts to ensure that prices, product descriptions and other information displayed on our website are accurate.

However, errors may occasionally occur.

If we discover an incorrect price or material product information error after you place an order, we may contact you and provide the option to:

  • Proceed with the order at the correct price;
  • Select an alternative product; or
  • Cancel the affected item or order and receive a refund of the relevant amount already paid.

Product photographs and images are provided for illustrative purposes.

Actual packaging, labels, colours, designs or product appearance may differ from the images displayed on our website, particularly where manufacturers update their packaging.

Manufacturer product codes and specifications should be checked carefully before placing an order.

  1. Product Compatibility

Customers are responsible for ensuring that printer cartridges, toner cartridges, drum units and other consumables purchased are compatible with their equipment.

We strongly recommend checking:

  • Manufacturer
  • Printer model
  • Cartridge or toner code
  • Product number
  • Yield
  • Colour
  • Region or compatibility requirements

before completing your purchase.

If you are uncertain about compatibility, please contact OEM Distributors before placing your order.

Our team will make reasonable efforts to assist you in identifying the correct product.

  1. Orders and Payment

By placing an order with OEM Distributors, you confirm that:

  • The information you provide is accurate and complete;
  • You are authorised to place the order;
  • You are authorised to use the selected payment method; and
  • You agree to these Terms of Service.

Submitting an order constitutes an offer to purchase the selected products.

An order is considered accepted once OEM Distributors confirms acceptance and any required payment has been received or approved according to the agreed payment terms.

Unless alternative written payment terms have been approved by OEM Distributors, orders may be processed on a COD (Cash on Delivery/Payment Before Delivery or Collection) basis, as communicated on the applicable quotation or invoice.

We reserve the right to refuse or cancel an order where:

  • Stock is unavailable
  • Payment has not been received
  • A pricing error has occurred
  • Incorrect information has been supplied
  • We reasonably suspect fraudulent activity
  • The requested product has been discontinued
  • A supplier cannot fulfil the product
  • Circumstances outside our reasonable control prevent fulfilment

Where OEM Distributors cancels an order after receiving payment, the amount due for the cancelled products will be refunded in accordance with our refund procedures and applicable law.

  1. Quotations

Quotations issued by OEM Distributors are subject to:

  • Stock availability
  • Supplier availability
  • Manufacturer availability
  • Pricing changes
  • Exchange-rate fluctuations where applicable
  • Any specific conditions stated on the quotation

Unless otherwise stated on the quotation, quotations are generally valid for 14 days from the date of issue.

A quotation does not guarantee that stock will remain available for the entire quotation validity period.

Stock is only secured once the order has been accepted and any required payment or purchasing conditions have been satisfied.

  1. Shipping and Delivery

OEM Distributors offers delivery throughout South Africa using courier companies, delivery partners or our own delivery arrangements where applicable.

Delivery dates and timeframes provided by OEM Distributors are estimates unless specifically confirmed otherwise in writing.

Delivery times may be affected by:

  • Courier delays
  • Supplier delays
  • Stock availability
  • Public holidays
  • Weather conditions
  • Remote delivery areas
  • Incorrect delivery information
  • Events outside our reasonable control

OEM Distributors will make reasonable efforts to deliver orders within the estimated timeframe.

We cannot guarantee courier delivery times where circumstances are outside our reasonable control.

Customers are responsible for providing an accurate and complete delivery address and ensuring that an authorised person is available to receive the order.

Additional delivery charges may apply where an order must be redelivered because nobody was available to receive it or incorrect delivery information was supplied.

  1. Returns and Refunds

Returns and refunds are handled according to our Returns & Refunds Policy and applicable South African consumer law.

Where applicable, customers should notify OEM Distributors as soon as possible if they receive:

  • An incorrect product
  • A damaged product
  • A defective product
  • An incomplete order

Printer consumables such as cartridges, toner cartridges, ink cartridges and drum units should not be opened or have manufacturer seals removed unless the customer intends to use the product.

Return eligibility may be affected where packaging or manufacturer seals have been opened, except where a product is defective, incorrectly supplied or where the customer has rights under applicable law.

Nothing in this section limits any rights available to customers under the Consumer Protection Act, 2008 or other applicable South African legislation.

  1. Warranties

Products sold by OEM Distributors may carry the applicable manufacturer’s or distributor’s warranty.

Warranty terms vary depending on the manufacturer and product.

Where appropriate, OEM Distributors will assist customers with valid warranty claims and may refer products to the relevant manufacturer, authorised distributor or service centre for assessment.

A manufacturer’s assessment may be required before a product can be repaired, replaced or credited.

Nothing in these Terms excludes or limits any warranty or consumer protection rights that cannot lawfully be excluded under South African law.

  1. Original and Branded Products

Where a product is advertised as an original, genuine or OEM product, it refers to a product supplied under the relevant manufacturer’s brand, subject to the manufacturer’s applicable product identification and packaging.

Manufacturer names, trademarks, product codes and logos appearing on our website remain the property of their respective owners.

Their use on our website is primarily for product identification and compatibility purposes and does not necessarily imply sponsorship, endorsement or affiliation unless expressly stated.

  1. Intellectual Property

Unless otherwise stated, content created for the OEM Distributors website, including:

  • Website text
  • Graphics
  • Advertising material
  • Layout
  • OEM Distributors branding
  • OEM Distributors logos
  • Promotional designs
  • Original photographs and other content

is owned by OEM Distributors or used with appropriate permission.

You may not reproduce, republish, distribute, modify or commercially exploit our proprietary content without prior written permission.

Manufacturer trademarks, product names, logos and product images remain the intellectual property of their respective owners where applicable.

  1. Third-Party Services

OEM Distributors may use third-party providers for services including:

  • Online payments
  • Courier services
  • Accounting
  • Analytics
  • Marketing
  • Customer communications
  • Fraud prevention
  • IT services

These third parties operate according to their respective terms and privacy policies.

Where a third-party provider processes personal information on our behalf, we take reasonable steps to ensure information is handled appropriately and in accordance with applicable law.

  1. Limitation of Liability

To the fullest extent permitted by South African law, OEM Distributors will not be liable for indirect, incidental, special or consequential losses resulting from the use of our website or products.

Where legally permitted, our liability relating to an individual order will generally not exceed the amount paid for the affected goods or services.

OEM Distributors will not be responsible for losses resulting from circumstances outside our reasonable control, including courier delays, supplier disruptions, manufacturer shortages or other external events.

Nothing in these Terms is intended to exclude, restrict or limit any liability or consumer right that cannot lawfully be excluded or limited under the Consumer Protection Act, 2008, POPIA or other applicable South African legislation.

  1. Fraud Prevention

OEM Distributors reserves the right to verify orders and payments where reasonably necessary to prevent fraud.

We may request additional information before processing an order, particularly for unusual, high-value or potentially fraudulent transactions.

We reserve the right to suspend or cancel an order where we reasonably suspect:

  • Fraud
  • Unauthorised payment
  • Identity misuse
  • False customer information
  • Other unlawful activity

Where appropriate, suspected unlawful activity may be reported to the relevant authorities.

  1. Privacy

Your privacy is important to OEM Distributors.

Our collection, processing, storage and sharing of personal information are governed by our Privacy Policy and applicable South African data protection legislation, including the Protection of Personal Information Act, 2013 (POPIA).
